Contract work

The contract runs a year – the billing runs every month

A Rahmenvertrag is won when it is signed. It is earned across hundreds of individual Abrufe, every one of which has to be evidenced.

Call-off and evidence

The Abruf comes by phone – the evidence has to be in writing

Between the authority’s call and a checked invoice lie several handovers. Each one is a place where a document goes missing or a quantity is copied wrong.

At an audit this is exactly the link that gets asked about: which item belongs to which call-off, and which call-off to which contract.

The flow

From the phone call to the monthly invoice

  1. 1Record the Abruf

    Levora – call-offs attached to a contract

Date, location, work – and which contract it belongs to.

  2. 2Zettel on site

Levora – checking quantities read from a Zettel

The crew measures and writes as before; the paper does not change.

  3. 3Collect at month end

Levora – call-off items aggregated for the month

Abrufe under the same contract come together in one billing run.

  4. 4Issue one invoice

Levora – monthly invoice for a framework contract

A hundred small jobs, one XRechnung the authority can check.

In contract work

What Excel cannot hold together

  • Which Abruf belongs to which contract – nobody remembers at month end
  • The remaining quantity is unknown until the contract runs out
  • The same job billed twice, noticed first by the client
  • A price adjustment cannot be applied retrospectively
  • When an audit comes, somebody hunts for the Zettel behind a line

Common questions

Questions from contract work

Can we run several Rahmenverträge at once?

Yes. Each contract carries its own item list, its own Leitweg-ID and its own remaining quantity; the contract is chosen when the Abruf is recorded.

How do we see the remaining quantity?

In the contract view, per item: contracted, called off, remaining. Not an estimate – the sum of the Abrufe recorded.

Can we apply a price adjustment (Preisgleitung)?

If the contract provides for it, yes: the new unit price is entered with its effective date and applies to Abrufe after it. Correcting the past is done by Storno and a credit note – invoices are never overwritten.

Walk through your own contract

Bring a running Rahmenvertrag and a few Zettel from last month. You will see how a hundred small jobs become one invoice that survives checking.
