Straßenbau: from tender to an invoice that survives checking

Public clients, GAEB bills of quantities, Aufmaß taken in wind and rain – and at the end an invoice that has to evidence every line.

Aufmaß and billing

What is measured on the road – and what the authority checks

In road building the quantities arise outside: lengths, areas, stations. They are written on a sheet of paper that gets rained on and is still the evidence.

Aufmaß under REB 23.003

The formula stays visible. In an audit you show not only the quantity but how it came about.

The flow

Four steps that never change

  1. 1Read in the GAEB file

Levora – imported road construction bills of quantities

The tender’s bill of quantities becomes your item list.

  2. 2Price it and bid

Levora – priced road construction items

Enter unit prices, return the bid in the format required.

  3. 3Capture the Aufmaß

Levora – checking quantities read from an Aufmaß sheet

Photograph the Zettel, check the quantities, attach them to the item.

  4. 4Issue the XRechnung

    Levora – invoicing a Straßenbauamt

To the authority with its Leitweg-ID, from the same checked items.

Typical for Straßenbau

Where billing gets stuck

  • The Aufmaß happens outside, the billing inside – retyping sits in between
  • Quantities under REB 23.003 must be traceable, not merely correct
  • Public clients check the chain: item, Aufmaß, evidence
  • With a Rahmenvertrag, the call-off it belongs to comes on top
  • The XRechnung is rejected if a mandatory field or the Leitweg-ID is missing

Common questions

Questions from road construction

Does Levora calculate under REB 23.003?

Yes, formula-bound, including station measurement. More important than the result is the calculation path: it stays visible, so an audit can follow how a quantity came about. Exchange via DA11 and X31 is possible.

Does the foreman have to work differently?

No. He measures and writes on paper as before. The only change is that the Zettel gets photographed in the office instead of retyped.

My German is not good enough for official correspondence. Is that a problem?

Mandatory fields, the Leitweg-ID and the format are checked by the software before the file leaves your machine, so an invoice does not fail because of your German. The tender documents and letters from the authority still arrive in German – we can help read them, but the contract remains yours.

We work for several authorities with different formats. Does that work?

Yes. Each client carries its own Leitweg-ID and format; XRechnung and ZUGFeRD are produced from the same data.

And the traffic order?

The documents for the traffic sign plan to RSA 21 are produced in Levora along the way. The order itself is issued by the authority – no software can or may take that over.

Walk through one of your own jobs

Bring a GAEB file and a filled-in Aufmaß sheet. You will see the path through to the finished XRechnung on your own paperwork.
