Feature

Take over a bill of quantities without retyping

The client's GAEB file becomes your item list: numbers, texts, quantities and units exactly as they stand in the tender.

Why it matters

A typing error travels all the way

A bill of quantities has hundreds of items. Every line copied by hand is a place where a figure or an item number can slip. That slip is not noticed in the bid; it surfaces in the billing, when the client cannot find the item.

A GAEB file is already structured data. Reading it is both faster and safer than typing it again – and the numbers are preserved exactly.

Scope

Which phases

  • Read: X81 (tender BoQ) and X83 (request for bids)
  • Written: X84 (the priced bid) and X31 (the Aufmaß)
  • The older 2004/07 namespace and the current 3.x versions
  • The D81/D83 text format (GAEB 90) is not read – we say so plainly
  • To try a file right now, use the free GAEB viewer

Honestly

What can go wrong on import

  • The client sends a PDF. Then there is no GAEB file to read – ask for one, it is worth it
  • The file is incomplete. It happens; Levora shows what is missing instead of quietly filling it in
  • Item numbers differ from what you are used to internally – the ones from the contract are what count
  • Levora does not calculate for you. What an item may cost, you know better

Common questions

Questions about the import

Which GAEB versions are read?

GAEB DA XML 3.x and the older 2004/07 namespace. The old GAEB 90 text format (D81, D83) is not read – we say that up front so you do not waste time trying.

What if we only get a PDF?

Then the machine-readable basis is missing and the items have to be captured. Ask the client for the GAEB file – it almost always exists, it is simply not sent along automatically.

Are the item numbers preserved?

Yes, exactly. The bid and the invoice go back with the same numbers; the client has to be able to find the line in their own document.

Can we carry prices over from an earlier contract?

Yes, provided the items match. Whether the old price still fits is your decision, though – Levora proposes nothing. Carrying last year’s price across without noticing is the quiet way to lose a bid.

Try it with your own file

Bring a GAEB file. Whether it reads, and whether the items come through correctly, is clear within a minute.
