Integrations that reach the recipient

We build e-invoicing to EN 16931 into existing software, connect industry formats such as GAEB and link systems between which someone retypes data today.

What it is about

What an integration has to do

An integration transfers data from one system to another without a person copying it out. With e-invoicing, the other system is your customer’s invoice portal: it only accepts structured invoices to the EN 16931 standard, in practice XRechnung or ZUGFeRD.

The hard part is rarely the format. What is hard is that every detail in it has to come from your process and be correct: the Leitweg-ID, the item number, the quantity. That is where we start.

What we connect

Formats and systems

XRechnung

Produce and validate, with the Leitweg-ID in BT-10. The currently valid version is 3.0.2; version 4.0 has been announced (as of August 2026).

Validate an XRechnung for free

GAEB DA XML

Read in bills of quantities of phases X81 and X83, with the item numbers of the contract.

View a GAEB file

Leitweg-ID

Structure and check digit according to the official procedure, before the invoice reaches the portal.

Check a Leitweg-ID

Your existing systems

Inventory management, bookkeeping, time recording: enter data once and pass it on to where it is needed.

Spreadsheets and legacy data

Import and export for the files your partners actually work with.

Example from our own development

In Levora, tested against the official test suite

Levora produces XRechnung and ZUGFeRD invoices from the same items that previously came from the bill of quantities and from the ticket. The generator was built against the test suite of the Koordinierungsstelle für IT-Standards (KoSIT), the German coordination office for IT standards.

This work gave rise to six free tools that run entirely in the browser: you validate an XRechnung, check a Leitweg-ID or open a GAEB file without any file leaving your computer.

Common questions

Integrations and e-invoicing: what is asked

Can you build XRechnung into our existing software?

Yes, that is a typical job. We look at where the invoice data arises in your software and build the output as XRechnung or ZUGFeRD to EN 16931, including validation before sending.

From when do we have to send e-invoices?

From 1 January 2027 if your turnover in the previous year was above €800,000; from 1 January 2028 the obligation applies to all other companies. You have had to be able to receive e-invoices since 1 January 2025. As of August 2026. This is not tax advice; the publications of the German Federal Ministry of Finance are authoritative.

What is the difference between XRechnung and ZUGFeRD?

Both meet the EN 16931 standard. An XRechnung is a pure XML file that only machines read. ZUGFeRD is a PDF in which the same data is embedded as XML. Public clients mostly demand XRechnung.

Is a PDF by email no longer enough?

For invoices between domestic companies the PDF is being phased out: a plain PDF is not an e-invoice within the meaning of the regulation, because it contains no structured data.

Which systems can you connect?

That depends on what the system in question offers to the outside: a programming interface, a file export or a database. We clarify that in the analysis, before a quote is drawn up.

Do you also develop just the integration, without the rest?

Yes. A single integration is a manageable job and often the most sensible first step.
